February 2022 Board of Directors Meeting

Sunday, February 27, 2022
Meeting was called to order at 6:30PM, and quorum was established. Board of Directors present: Tom Bowles (President), Ginney Regan (Treasurer), Lauren Fulton (Secretary), Members at Large: Kathy Bondesen, Lash Russell, and Larry Falter. Robert Lund (VP) was absent.
We reviewed the contact information for the newly elected Board. No changes were required. We also reviewed roles & responsibilities for each position.
Treasurer’s Status Report
Reviewed financials with projected closing date of Feb 28th, 2022.
March 2022 forecasted expenditures are $148 for USPS mailbox rental.
Motion was approved to reimburse office expenses for Board members.
Motion was approved to reimburse up to $500 in expenses incurred by the Welcoming Committee. After they exhaust $500 allocation, an additional motion is required.
We currently have 110 active property lot owners (57%), compared to 136 (70%) from 2020 fiscal year.
Ginney to schedule Wells Fargo account authorization for Lauren.
Board Elections Recap: Board members received 82.5% to 95% membership supporting votes.
ECC Items
Vacancy on ECC was created by Lash Russell’s election as a Member at Large.
Motion was approved to ask Sid Raines to join the ECC. Sid has been shadowing the ECC.
Troy Dayton has also volunteered to participate in the ECC.
Discussed ongoing issues and enforcement.
Near-term Planning Dates
Membership Drive (June 2022)
July 4th (Monday – Tractor Parade)
Summer BBQ (August): Will assess viability once legal fees are better understood. We typically spend $3,000-4,000 on this event.
Dumpster Day: Lower priority but would like to bring this event back. Typically schedule after the Douglas County Slash Mulch Program resumes in the spring.
Deerfield Directory
Typically publish the directory in August, after membership renews in July.
Last fall, members voted to publish electronically, instead of printing physical copies.

Discussed initial requirements. Board would like to simplify website design and ensure information is easy to access.
Would be nice for property owners to pay membership dues online, but not for additional fee.
No desire to create an interactive online community at this time.
