January 2025 Board of Directors Meeting

Date: Thursday, January 23, 2025
Time: 6:30 – 8:15 pm

Meeting was called to order at 6:37 p.m. and quorum was established. Board of Directors present: Dave Jacobs (President), Lauren Fulton (Vice President), Glen Roat (Treasurer), Shauna Smith (Secretary). Members at Large present: Cheryl Gerger, Tim Korf.  ECC member present: Davona Roat.

Treasurer’s Report – Glen Roat

·      December 2024 financials are posted on Deerfield website

·      FY 2023-2024 taxes have been filed

·      Research for online member payments

o   Wells Fargo

o   ENT Credit Union

o   Quickbooks

§  Pros/cons to each of the three above but current front runner is Quickbooks

·      Possible use of a QR code?

Secretary’s Report – Shauna Smith

·      2024-2025 current fiscal year active membership count – 85 property owners

·      Deerfield Directory 2024-2025 – electronically distributed to members in early October, hard copies provided to those who requested it.  Additional copies available.

·      Lauren to provide updated directory to ECC

DHPO Semi-Annual Members Meeting Planning – February 18th

·      Usual updates – Treasurer’s Report, Secretary’s Report, Welcoming Committee, ECC updates, etc.

·      Lack of interest received for third formal meeting to include nonmembers

·      Approval needed for attorney fees for ECC enforcement

·      Maverix update

·      Insurance coverage information

·      Creation of a Social Committee?

ECC Non-Compliant Update – Davona Roat

Notice has been given to owners to make modifications needed for property to fall into compliance with ECC guidelines.  Douglas County entities are involved as well.  No response has been received so the next step is to send a registered letter to owners.

Update: Following the date of this board meeting, the property owner having a compliance issue acknowledged receipt of our communications making sending a certified letter unnecessary.

DHPO December Holiday Party Review – Dave Jacobs

·      Venue has been reserved for this year, Saturday, December 13th

·      Possibly consider luncheon versus dinner in the future

·      Track RSVPs and requests to help

·      Purchase less beer and make sure to have non-alcoholic options available

·      Consider another caterer for this year

·      Share building access code
