October 2024 Board of Directors Meeting

Time: 6:30 – 8:15

Meeting was called to order at 6:45 p.m. and quorum was established. Board of Directors present: Dave Jacobs (President), Lauren Fulton (Vice President), Glen Roat (Treasurer), Shauna Smith (Secretary). Members at Large present: Lash Russell, Cheryl Gerger, Tim Korf.  ECC member present: Davona Roat.

Treasurer’s Report – Glen Roat

·      September 2024 financials are posted on Deerfield website

·      October 2024 financials will be available and posted within the next week

·      FY 2023-2024 tax filing pending due to accountant’s availability – plenty of time remaining on extension

·      Research for online member payments

Secretary’s Report – Shauna Smith

·      2024-2025 current fiscal year active membership count – 84 property owners

·      Deerfield Directory 2024-2025 – electronically distributed to members in early October, hard copies provided to those who requested it.  Additional copies available.

DHPO December Holiday Party Planning – Lauren Fulton

·      Venue and caterer secured for Saturday December 14th

·      Save the date/invitations to go out electronically later this month, along with mailbox flyers

·      Decorations – Cheryl Gerger will help to gather what we have and coordinate table decorations

·      Beverage purchase – Lash Russell

·      Music/Entertainment – need holiday playlist and equipment to play it

·      Set up afternoon of event, clean up morning following event – ask for volunteers in invitation

Ideas for “third” formal meeting to include “all” residents

·      Possibly a meeting at fire station – would need to check available dates, or try to coordinate a meeting at a home or cul-de-sac

·      DHPO Board to send out “feeler” email to nonmembers to receive feedback on who would be interested in a meeting, and what kind of meeting they would like

ECC Enforcement – Davona Roat

·      Ongoing efforts to ensure compliance with covenants and bylaws

Fire Mitigation Grant Status – Lash Russell

·      Additional funds are available for mitigation work

·      Wait until spring 2025 to pursue additional mitigation

New Business – All

·      ECC approval required for fire mitigation work unless it is done through forest service – then it is considered maintenance

·      Suggested items and location for next Board Meeting

o   Plan for February member meeting

o   Next Meeting on January 23rd – Glen Roat’s
