May 2024 Board of Directors Meeting

Time: 6:30 – 9:00
Meeting was called to order at 6:55 p.m. and quorum was established. Board of Directors present: Dave Jacobs (President), Glen Roat (Treasurer), Lauren Fulton (Vice President), Shauna Smith (Secretary). Members at Large present: Lash Russell, Cheryl Gerger, Tim Korf, Rich Love (ECC).
Treasurer’s Report – Glen Roat
· Financials through 4/30/24 were presented. Items of note were expenses for dumpers for Dumpster Day, payment of PO box fee, and processing of 5th and 6th mitigation phase funds.
· Discussion was had regarding changing to a ledger system going forward, and to be virtually paperless.
· Look into the possibility of using and accepting electronic payments.
Secretary’s Report – Shauna Smith
· 2023-2024 current fiscal year active membership count – 96 property owners as of 3/31/24. Membership count for 2021-22 was 114, and 2022-23 was 98.
· Website status – Lauren continues to maintain and update website as needed.
· Deerfield Directory- 2023-2024 – do electronic distribution of directory following June membership renewals.
Fire Mitigation Grant Status – Lash Russell
· 5th and 6th phase mitigation has been completed and grant funds have been disbursed. Awaiting state checks for phase 7. Phase 8 work is being scheduled. With some remaining funds available after phase 8, following email blast, there are now 8 additional owners interested in mitigation. The remaining grant funds for anything beyond phase 8 will be allocated on a first come, first served basis.
· Possibility of additional future funds available for reimbursement at less than 75%.
June 1 Dumpster Day 9:00 – 2:00 – Dave Jacobs
· Dumpsters for 2 locations have been ordered – Moose Circle and Fawn Circle.
· Two volunteers needed at each location at all times – one for check in with membership list and one to direct unloading.
· Only active members or new members with payment in hand can use dumpsters.
Fourth of July Parade – Lash Russell
· Application for permit with Douglas County has been submitted and application fee paid – estimated to have permit by mid-June
· Traffic control is required
· Certificate of Insurance was obtained and submitted with application for permit
· Will need portapotty
· Eblast “Save the date” to members
ECC Report – Rich Love
· 16 applications year to date
· All information to be included with approval (application, submittal date, site visit date, photos, drawings, formal approval date)
· Goal to respond to ECC emails within 24 hours
· Dead trees in right of way – create list and send to Douglas County commissioner.
· Email property owners with dead trees and/or failing fences
